02 What Does This Notice Cover?

Th is Privacy Notice explains how we use your personal data: how it is collected, how it is held, and how it is processed. It also explains your rights under the law relating to your personal data.

03 What Is Personal Data?

Personal data is defined by the UK GDPR and the Data Protection Act 2018 as any information relating to an identifiable person who can be directly or indirectly identified by reference to an identifier. 

In simpler terms, personal data is any information about you that enables you to be identified. It covers obvious information such as your name and contact details, but also less obvious information such as identification numbers, electronic location data, and other online identifiers.

The personal data that we use is set out in Part 05, below.

04 What Are My Rights?

Under the UK GDPR, you have the following rights, which we will always work to uphold.

  • aThe right to be informed about our collection and use of your personal data. This Privacy Notice should tell you everything you need to know, but you can always contact us to find out more using the details in Part 12.

  • bThe right to access the personal data we hold about you. Part 11 will tell you how to do this.

  • cThe right to have your personal data rectified if any of the personal data we hold about you is inaccurate or incomplete.

  • dThe right to erasure, also known as the right to be forgotten. This is the right to ask us to delete or otherwise dispose of any of your personal data that we hold.

  • eThe right to restrict, meaning to prevent, the processing of your personal data.

  • fThe right to object to us using your personal data for a particular purpose or purposes.

  • gThe right to data portability. This means that, if you have provided personal data to us directly, and we are using it with your consent or for the performance of a contract, and that data is processed by automated means, you can ask us for a copy of that personal data to reuse with another service or business.

  • hRights relating to automated decision making and profiling. We do not use your personal data in this way.

05  What Personal Data Do You Collect?

We may collect some or all of the following personal data, which may vary according to your relationship with us.

  • Name

  • Email address

  • Telephone number

  • Date of birth

  • Address

  • Business name

  • Payment information

  • Details of your booking, including party size, date, time, and any dietary or accessibility requirements you tell us about

  • Information about your preferences and interests

 

 

06 How Do You Use My Personal Data?

Under the UK GDPR, we must always have a lawful basis for using personal data. This may be because the data is necessary for the performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate business interests to use it.

Your personal data may be used for the following purposes.

  • Taking and managing your table booking, private hire enquiry, or event enquiry

  • Managing your account, for example table spends and tabs

  • Supplying our products and services to you

  • Communicating with you, including responding to emails or calls

  • Personalising and tailoring our products and services for you

  • Sending you information by email, SMS, telephone, or post that you have opted in to receive

With your permission, and where permitted by law, we may also use your personal data for marketing purposes. This may include contacting you by email, telephone, SMS, or post with information, news, and offers relating to our products and services. You will not be sent any unlawful marketing or spam. You will always have the opportunity to opt out, either by contacting us or by using the unsubscribe link at the bottom of our communications.

Our website uses cookies. Cookies are small text files placed on your device that help the website function correctly and help us understand how the site is being used.

08 How Long Will You Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reasons for which it was first collected.

  • Booking data is kept until the booking has been completed and paid in full, and for a reasonable period afterwards for accounting and record keeping purposes

  • Marketing data is kept until we determine that you are no longer interested in our products or services. Factors used to determine this include bounced communications and recurring non opening of communications

 

 

09 How and Where Do You Store or Transfer My Personal Data?

We store your personal data within the United Kingdom and the European Economic Area wherever possible.

Some of the third party services we use may store or process data outside the UK. Where personal data is transferred outside the UK, we take steps to ensure it is protected to a standard equivalent to that required under UK data protection law, including through the use of approved safeguards such as International Data Transfer Agreements or adequacy regulations.

The security of your personal data is important to us. We take a number of measures to protect it, including restricting access to personal data to those who need it, securing our devices and accounts, and keeping physical records securely stored.

 

 

10 Do You Share My Personal Data?

We may contract with third parties to supply products and services to us or on our behalf. In some cases, those third parties may require access to some or all of the personal data that we hold. These currently include the following.

  • Wix.com Ltd, our website platform provider

  • Dojo, our bookings and payments provider

  • Our accountants, for the purposes of bookkeeping and financial record keeping

Where personal data is shared with a third party as described above, we take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party's obligations under the law.

In some limited circumstances, we may be legally required to share certain personal data. This might include where we are involved in legal proceedings, or where we are complying with legal obligations, a court order, or the in

structions of a government authority.

 

 

11 How Can I Access My Personal Data?

If you want to know what personal data we hold about you, you can ask us for details of that personal data and for a copy of it. This is known as a subject access request.

All subject access requests should be made in writing and sent to the email or postal address shown in Part 12.

There is not normally any charge for a subject access request. If your request is manifestly unfounded or excessive, for example if you make repetitive requests, a fee may be charged to cover our administrative costs in responding.

We will respond to your subject access request within one month of receiving it. In some cases, particularly if your request is more complex, more time may be required, up to a maximum of three months from the date we receive your request. You will be kept fully informed of our progress.
